1. Accessing the Email Templates
In the main menu, click Settings/Templates to view existing email templates.
Here, you can edit existing templates or add new ones.

2. Creating a New Email Template
Click "Add New Template".
First, enter a name for the template and the subject line of the email.
Then, enter the desired message content.

3. Using Mail Merge Fields
The software supports mail merge fields, which allow you to automatically insert information from a booking or customer database into your email (e.g., name, arrival date, room category).
For example, you can use the flexible salutation "{Salutation-flexible}", which automatically adapts to the recipient’s gender or stored customer data.
Example: “Dear Mr. Smith” or “Dear Ms. Smith.”

4. Translating Templates
To create a template in another language, click the "New Variant" button.
Select the desired language and translate both the subject and the email text.
Then save the new language variant so that it becomes available in the system.

5. Automatic Language Selection for Templates
If the language field is activated under Settings/Customers, the system can automatically select the correct language version of the email template based on the customer’s stored language.
For example, if a guest is registered with the language English, the system will automatically send the English version of the email template.
This eliminates manual selection and ensures consistent and efficient communication.
